1. Super Admin

Authentication & Authorization

System Modules

Module 1: Club Management

  • Club discovery page with search, filter by category, sort by popularity (member count)
  • Club profile/detail page: description, leaders, member count, upcoming events, merchandise catalog
  • Club membership criteria modes set by club leaders during club setup/edit:
    • free: all users can request to join with no subscription fee
    • subscription: users join through subscription criteria with a leader-defined fee and optional discount
    • hybrid: users from a configured faculty join for free, while users from other faculties join via subscription fee
  • For hybrid clubs, hybrid_free_faculty must be configured and compared against the user's faculty/department profile field.
  • Subscription fees are stored in cents and can include optional percentage discounts configured by club leaders.
  • Users can be members of multiple clubs simultaneously (unique per club, not globally unique).
  • Join request flow: Student clicks "Join" → request created with status: pending → Club Leader approves/rejects → Student notified via email + in-app

Module 2: Events Management

  • Event creation by Club Leaders (club events) or Admins (school-wide events)
  • Rich event details: title, description, venue, dates, capacity, registration deadline, cover image, fee
  • Approval workflow: draft → Club Leader submits → pending → Admin approves/rejects → approved events visible to students
  • Club Leaders cannot approve their own events — enforced via Policy
  • Registration management: open slot tracking, capacity enforcement (reject when full), attendance marking by Club Leader

Module 3: Payments (M-Pesa Integration)

  • Use Daraja API STK Push (Lipa Na M-Pesa Online)
  • Payment triggers: event registration fee, merchandise purchase
  • Flow:
    1. User initiates payment → frontend collects/confirms phone number (format: 254XXXXXXXXX)
    2. Backend validates and calls STK Push API → creates payment record with status: initiated
    3. User receives M-Pesa prompt on phone → enters PIN
    4. Daraja callback hits /api/mpesa/callback → updates payment.status to completed or failed
    5. If completed: order marked paid, confirmation notification sent to user + Admin
    6. If failed: payment.failure_reason recorded, user can retry
  • Idempotency: Prevent duplicate STK Push requests using mpesa_checkout_request_id unique index; allow retry only after previous request expires (timeout: 60 seconds)
